By making a reservation, the guest accepts and agrees to comply with the following booking terms and conditions, with all policies subject to availability and the hotel's confirmation.
1. Schedules
- Reception: 8:30 AM–11:30 AM | 3:00 PM–8:00 PM

- Online check-in: anytime, provided when the guest correctly completes the required check-in online form. Access code and instructions will be sent by email. Entry from 3:00 PM.
- Early check-in: Subject to availability. Luggage storage available if the room is not ready.
- Late in-person check-in: 8:00 PM–11:00 PM, €50.00, 24h prior request, subject to availability.
- Late online check-in (free): after 8:00 PM, provided when the guest correctly completes the required form. Access code and instructions will be sent by email.
- The guest is responsible for correctly completing the form in order to guarantee access.
- Check-out: until 11:00 AM (online or in-person).
- Late check-out: 11:00 AM–12:30 PM, €30.00. Informed by 8:00 PM of the day before, subject to availability.
- Breakfast: 7:00 AM–10:00 AM (gluten free available with 24h notice).
- Aditional Breakfast: Can be added to the booking at an additional cost.
- Quiet hours: 10:00 PM–7:00 AM.
2. Food Hygiene and Safety
The hotel complies with food hygiene and safety regulations to ensure the quality of the food.
3. Enhanced cleaning and Disinfection
The hotel follows enhanced cleaning and disinfection protocols to ensure guest safety and well-being.
4. Daily Cleaning and “ Do not Disturb” Sign
- Room cleaning is done daily until 3:00 PM.
- If the "Do Not Disturb" sign is on the door by 12:00 PM, we will respect your privacy.
- If you need towels or other items, please contact reception between 3:00 PM and 8:00 PM, we will be happy to help, by internal phone 9 or in person.
5. Hotel Access
- Access via code upon submission of a mandatory check-in online form; access code and instructions will be sent by email.
- Key card available when choosing in person check-in (3:00 PM–8:00 PM), €10 deposit refunded at check-out if returned in good condition.
6. Mandatory Registration Form
All guests are required to complete the registration form in compliance with Decree-Law No. 39/2008, which will be reported to the competent authorities.
The reception verifies the information provided.
7. Free Parking
- The hotel offers 10 free parking spaces, subject to availability.
- Use of the parking facilities is at the guest’s own risk; the hotel accepts no liability for any damage or theft, except as required by law.
- Parking spaces are allocated on a first-come, first-served basis and cannot be reserved.
- If no parking spaces are available upon arrival, guests may park in the small square located on the same street, just after the hotel on the right-hand side.
8. Security and Conduct Rules
- Elevator: maximum capacity 320 kg or maximum 3 people without luggage. Emergencies: +351 234 793 786 (call number, then select option 2).
- Fire system: detection installed throughout the property.
- Smoking: prohibited indoors. Fine up to €500. Staff may call authorities (Law No. 37/2007, of August 14, amended by Law No. 109/2015, of August 26, and by Law No. 63/2017, of August 3).
- CCTV: video surveillance in public areas, recordings kept for 30 days.
- Disturbance of public order: access may be refused under portuguese and european law.
- Quiet hours: 10:00 PM - 7:00 AM. Fines from €200 to 2,000 (Decree-Law No. 9/2007).
9. Liability for Damages
Guests are liable for any damage caused to the hotel, whether intentionally or through negligence, and must cover the associated costs.
10. Pets
- Guests must keep pets in allowed areas and ensure they do not disturb others or cause safety or hygiene issues.
- The guest is fully responsible for any material or personal damage caused by the pet(s) in their care during the stay.
- Liability insurance may be required for certain dog breeds, according to law.
- Hotel Santiago allows up to 2 pets per room, by prior request and extra fee, informed at booking.
- Pets are permitted only in parking, elevator, guest rooms, and a designated breakfast room.
- Pets cannot use the main entrance or the stairs to the guest rooms.
- Pets are not allowed in the main breakfast room or buffet area.
- Pets must always be accompanied by their owners inside the hotel.
- Guests must follow local laws on pet ownership, including cleaning up and licensing.
- The hotel reserves the right to deny entry or accommodation to pets that violate the rules or pose a risk to guests or staff.
11. Cancellation and Rates
11.1. Flexible Rate
- Cancellations and changes until 00:00, 5 days before check-in.
- Payment must be completed by 00:00, 5 days before check-in.
- From 00:00, 5 days before check-in, cancellations are not accepted and the full amount will be charged.
11.2. Non-Refundable Rate
- Payment required at the time of booking.
- Date changes are not allowed.
- Cancellations and no-shows are non-refundable.
12. Right of Withdrawal
- The right of withdrawal under Decree-Law No. 62/2018 does not apply to non-refundable bookings.
- For flexible bookings that become non-refundable from 00:00, 5 days before check-in, the right of withdrawal no longer applies from that moment.
13. Overbooking
In exceptional cases of overbooking, the hotel commits to:
- Informing the guest in a timely manner;
- Offering an equivalent or superior alternative at no additional cost;
- Providing free transportation if necessary.
- If the guest does not accept the proposed solution, the amount paid will be fully refunded.
14. Force Majeure
Hotel Santiago is not liable for failures caused by events beyond its control, such as, natural disasters, strikes, pandemics, or disruptions in essential services.
15. Lost and Found
- Personal belongings left in the room or other areas of the property will be kept for up to 1 month.
- Valuables must be reported immediately to reception.
- The hotel is not responsible for items left outside secure areas or not handed directly to reception.
- Please contact reception for collection or shipping via CTT. Delivery fees may apply.
16. Personal Data Protection
In accordance with the GDPR (EU) 2016/679 and Law No. 58/2019.

- Contract execution: management of booking and stay.
- Legal obligation: communication to authorities (e.g., AIMA, tax obligations).
- Consent: sending marketing communications.
- Legitimate interest: improvement of services.
19. Data Shared with Third Parties
Personal data may be transferred to service providers, such as booking platforms and contractually bound suppliers (e.g., Booking.com, Expedia, Odisseias, Google), accounting services, information technologies, and digital marketing, under confidentiality agreements.
Such communications may involve transferring data outside the European Economic Area. In these cases, appropriate safeguards are ensured, namely through standard contractual clauses approved by the European Commission.
20. Retention Periods
- Billing data: 10 years.
- CCTV footage: 30 days.
- Other data: for the time necessary to fulfill the stated purposes.
21. Data Subject Rights
The data subject may exercise their rights of access, rectification, erasure, restriction, objection, portability, and withdrawal of consent by contacting the hotel in writing: by email to [email protected] or by mail to Hotuvagos, Hotelaria e Turismo, Lda, Rua Padre Vicente Maria da Rocha, 20, 3840-453 VAGOS.
They also have the right to lodge a complaint with the National Data Protection Commission (www.cnpd.pt).
22. Governing Law and Jurisdiction
• Portuguese law applies.
• In case of dispute, the Judicial Court of the District of Aveiro shall have jurisdiction.

23. Severability Clause
If any provision of these Terms is found to be invalid or unlawful, the remaining clauses shall remain fully effective.
24. Official Version
In case of discrepancies between translations, the Portuguese version shall prevail for all legal purposes.
